Privacy Policy

This Privacy Policy describes how NOVA AI, Inc., a Delaware corporation ("NOVA," "we," "us"), collects, uses, and shares personal information when you visit 1nova.ai (the "Site"), submit a form, subscribe to our communications, or log in to an account through the Site.

Scope note: This policy covers the Site and our marketing activities. Data we process on behalf of customers within the NOVA platform (including Salesforce metadata and delivery artifacts) is governed by the applicable Master Services Agreement and Data Processing Addendum, under which NOVA acts as a processor/service provider on the customer's behalf.

1. Information We Collect

Information you provide

  • Contact and demo request forms: name, business email, company, job title, and any message you include.
  • Email subscriptions: name and email address.
  • Account login: credentials and profile information associated with your account.
  • Correspondence: anything you send us by email or through the Site.

Information collected automatically

  • Usage and device data: IP address, browser type, operating system, pages viewed, referring URLs, and timestamps.
  • Cookies and similar technologies: used for essential Site functions (such as keeping you logged in), analytics, and measuring the performance of our marketing. You can control cookies through your browser settings; where required by law, we request consent before setting non-essential cookies.

We do not knowingly collect information from anyone under 18, and the Site is not directed to children.

2. How We Use Information

  • Respond to inquiries and demo requests;
  • Provide and secure account access;
  • Send marketing and product communications you have signed up for (you can unsubscribe at any time via the link in each email);
  • Operate, analyze, and improve the Site;
  • Detect, prevent, and investigate security incidents and fraud;
  • Comply with legal obligations and enforce our terms.

Legal bases (EEA/UK visitors)

Where the GDPR or UK GDPR applies, we process personal data on these bases: performance of a contract (account access); consent (email marketing, non-essential cookies — withdrawable at any time); legitimate interests (responding to business inquiries, Site security and analytics, B2B marketing where permitted); and legal obligation (compliance requirements).

3. How We Share Information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share personal information only with:

  • Service providers that support our operations (e.g., cloud hosting, CRM, email delivery, analytics), under contracts limiting their use of the data to providing services to us;
  • Professional advisors (lawyers, accountants, insurers) where necessary;
  • Authorities when required by law or to protect rights, safety, or security;
  • A successor entity in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

4. International Transfers

We are based in the United States and process data there. If you access the Site from outside the U.S., your information will be transferred to the U.S. Where required, we rely on appropriate safeguards for transfers from the EEA, UK, and Switzerland, such as the European Commission's Standard Contractual Clauses.

5. Retention

We keep personal information only as long as needed for the purposes described above: inquiry records for as long as relevant to a business relationship or prospective one; marketing data until you unsubscribe or after a period of inactivity; account data for the life of the account plus a reasonable wind-down period; and longer where required by law. When no longer needed, data is deleted or de-identified.

6. Security

We use technical and organizational measures appropriate to the risk, including encryption in transit, access controls, and least-privilege practices. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Your Rights

All visitors

You may unsubscribe from marketing emails at any time using the link in each message, and you may contact us to access, correct, or delete information you have provided.

EEA, UK, and Swiss visitors (GDPR)

You have the right to access, rectify, erase, restrict, and port your personal data, to object to processing based on legitimate interests, and to withdraw consent at any time (without affecting prior processing). You may also lodge a complaint with your local supervisory authority.

California residents (CCPA/CPRA)

You have the right to know what personal information we collect, use, and disclose; to access and correct it; to delete it; and to not receive discriminatory treatment for exercising these rights. We do not sell or share personal information as defined by the CCPA, and we do not use or disclose sensitive personal information for purposes requiring a right to limit. The categories of personal information we collect and our purposes are described in Sections 1–3 above. Authorized agents may submit requests on your behalf with proof of authorization.

Residents of other U.S. states with comprehensive privacy laws (e.g., Colorado, Connecticut, Virginia, Texas) have similar rights, which we honor as required.

Exercising rights

Email privacy@1nova.ai. We will verify your request (typically by confirming control of the email address on file) and respond within the timeframe required by applicable law. If we deny a request, you may appeal by replying to our decision.

8. Do Not Track and Global Privacy Control

Because we do not sell or share personal information for behavioral advertising, opt-out preference signals such as Global Privacy Control do not change how we process your data. We do not respond to browser Do Not Track signals.

9. Changes to This Policy

We may update this policy from time to time. We will post the updated version here with a revised effective date and, for material changes, provide additional notice where required.
